Booking & Stay Terms
Application
These terms apply to all reservations at Järnvägshotellet Charlottenberg, operated by Tenbergska Gruppen AB, registration number 556520-8203. By completing a booking you accept these terms in full. They are supplemented by our Privacy Policy.
Reservation confirmation
A reservation is binding for both parties from the moment a written confirmation has been sent to the email address provided at booking. The confirmation includes a booking reference, stay dates, room category, and total price.
It is your responsibility to provide a valid email address and to check your inbox – including the spam folder – well before arrival. As Järnvägshotellet is fully unmanned, all communication, including delivery of access codes, takes place digitally.
Check-in and check-out
Check-in is available from 15:00 on the day of arrival. Your door code and room code are normally sent 1–2 hours beforehand to the email address registered to the booking.
Check-out must be completed by 11:00 on the day of departure. Access codes expire automatically at this time and no physical check-out is required.
Early check-in or late check-out can be arranged for an additional fee, subject to room availability. Please contact us no later than the day before arrival to arrange this.
Payment and pricing
Payment is taken at the time of booking. We accept Visa, Mastercard, and PayPal. All prices are quoted in Swedish kronor (SEK) including VAT (25%). We do not handle cash payments on site.
In the event of a failed or reversed payment, we reserve the right to cancel the reservation without prior notice. Any bank fees arising from currency conversion are the guest's responsibility.
Cancellation & modification
- More than 48 hours before arrival: Free cancellation with a full refund.
- Between 48 and 24 hours before arrival: A charge equal to one night's stay applies.
- Shorter notice or no-show: The full booking amount is charged.
To cancel or modify your booking, use the link in your booking confirmation or contact us at info@jarnvagshotellet.com. The cancellation time is recorded from when your request is received by us.
Refunds are returned to the original payment method and are normally processed within 5–10 banking days depending on your bank.
In cases of force majeure – such as natural disaster, pandemic, or government order preventing the stay – cancellation without charge is possible regardless of notice period, subject to relevant documentation.
House rules
By staying at the hotel, guests agree to observe the following rules:
- Quiet hours apply after 23:00 in all common areas.
- Smoking is prohibited throughout the entire property, both indoors and immediately outside the building. Violations will result in a cleaning fee of at least SEK 2,000.
- Pets are not permitted on the premises.
- Damage to hotel property will be charged to the guest at documented replacement cost.
- Access codes are strictly personal and must not be shared with unauthorised individuals. The guest is responsible for all persons admitted using their code.
- Maximum occupancy per room is stated in the booking confirmation and must not be exceeded.
- Common areas – kitchen, lounge, and other shared spaces – must be left clean and tidy.
The hotel reserves the right to immediately remove guests who violate these rules. No refund will be issued in such cases.
Damage and liability
Guests are liable for damage caused to hotel property during their stay as a result of their own actions or those of persons accompanying them. The hotel documents the condition of rooms at check-in and check-out.
The hotel is not liable for theft, damage, or loss of guests' belongings. Valuables are kept at the guest's own risk.
The hotel accepts no liability for disruptions to electricity, water, internet, or other facilities caused by circumstances beyond our control. We will endeavour to remedy such issues as quickly as possible.
Complaints
Complaints relating to your stay should in the first instance be raised with us as soon as possible and no later than 14 days after check-out. Contact us at info@jarnvagshotellet.com. We aim to respond to complaints within five (5) working days.
Disputes & applicable law
Disputes are resolved first through negotiation between the parties. Consumers may refer matters to the Swedish National Board for Consumer Disputes (ARN) at arn.se. The EU online dispute resolution platform is available at ec.europa.eu/consumers/odr.
Swedish law applies to these terms. Disputes not resolved amicably shall be settled by a general court of law, with Värmland District Court as the court of first instance.
Changes to these terms
We reserve the right to update these terms. Changes take effect from the date they are published on the website. Confirmed bookings are governed by the terms in force at the time of booking.
